How to Submit Your Timesheet — and Get It Right Every Time

You must submit a timesheet after every completed shift. There are two ways:

1. From the reminder: At 7pm on the day of your shift, you’ll receive a text and email with a link. Tap the link → tap Submit → done.

2. From your profile: Go to Bookings → find your shift → tap the three dots (•••) icon → tap View Timesheet → tap Submit.

Submitting promptly ensures faster payment processing.

Your timesheet is what triggers the payment process. The moment you submit it, the practice receives it for review. They have 24 hours to approve or query it - if they take no action, the system auto-approves and your payment is processed. This guide covers how to submit, how to confirm it went through, what happens next, and how to fill it in accurately for the best long-term results.

How Do I Submit My Timesheet?

There are two ways to submit. Both do the same thing — use whichever is easier.

Method 1: From the reminder (easiest)

1. At 7pm on the day of your shift, you’ll receive a text and email reminder.

2. Tap the link in the message.

3. Review your start time, finish time, and break.

4. Tap Submit → done.

Method 2: From your Bookings section

1. Go to the Bookings section in your Airlocum profile.

2. Find your completed shift.

3. Tap the ••• icon on the right.

4. Tap View Timesheet.

5. Review your times, then tap Submit.

How Do I Know My Timesheet Was Submitted Correctly?

You can check the status of any timesheet in your Bookings section. Go to the completed shift, tap the icon, and tap View Timesheet.

Message shows: “The timesheet was submitted on [date] at [time].”

Start/finish times shown as text only (no edit buttons). The green Submit button is gone.

❌ Not submitted

The green Submit button is still visible.

Start/finish times can still be edited. No submission date shown.

If your shift shows as “not submitted,” make any needed edits and tap the green Submit button to complete it.

What Happens After I Submit My Timesheet?

Once you tap Submit:

  1. The practice receives your timesheet immediately and is notified to review it.

  2. They have 24 hours to approve or query it. Most practices approve within a few hours.

  3. If no action is taken within 24 hours, the system auto-approves and your payment is processed.

  4. Payment begins processing - typically 3 days for card-paying practices or 18 days for invoice-paying practices.

📊 The faster you submit, the faster you get paid. Delays in submitting your timesheet directly delay when your payment is processed.

How Should I Fill In My Timesheet Accurately?

Timesheets use 15-minute increments. The golden rule: be accurate, be fair, and when in doubt, round in the practice’s favour. Slight generosity builds trust, earns you Favourites status, and secures repeat bookings worth far more than a few extra minutes’ pay.

💡 What if the day ends early?

Example: You’re booked 9am–5pm, but the dentist finishes at 4pm and asks you to leave.

You’re entitled to: submit the full 9–5 as booked.

Better strategy: submit 9–4.

Why? It builds goodwill, avoids disputes, boosts your ratings, and gets you on Favourites lists. One trusted relationship can mean dozens of future bookings. Short-term generosity leads to long-term earnings.

Frequently Asked Questions

I missed the 7pm reminder - can I still submit?

Yes. The reminder is just a prompt. You can submit your timesheet at any time through the Bookings section in your profile. The sooner you submit, the sooner your payment is processed.

I made an error on my timesheet - can I fix it?

It depends on whether the practice has approved it yet.

Not yet approved: Contact support immediately via live chat with your booking details and the correct hours. We can fix it before the practice reviews it.

Already approved: Changes are not possible after approval. Payment will be processed based on the approved timesheet. This keeps the process clear and final for both sides.

To avoid this, always double-check your start time, finish time, and lunch break duration before tapping Submit.

The practice hasn’t approved my timesheet yet - should I worry?

Not necessarily. Practices have 24 hours to review. If they don’t take action, the system auto-approves your timesheet and payment processing begins. If it’s been more than 24 hours and the status hasn’t changed, contact support.

What if the practice rejects my timesheet?

If a practice queries your timesheet, our support team will help resolve the discrepancy. You’ll be notified and given the opportunity to respond. Accurate, fair timesheets — using the rounding rules above — almost always prevent this.

Does submitting late affect my payment?

Yes. Payment processing starts when the practice approves your timesheet, and they can’t approve it until you submit. Every day you delay submission is a day your payment is delayed.

Why should I round in the practice’s favour?

Because the value of being on a practice’s Favourites list far outweighs a few extra minutes’ pay. Practices that trust you will rebook you again and again. One strong relationship can generate dozens of future shifts.
